Generating reports from the Dashboard

A walkthrough of every report the platform can produce — attendance registers, the learner masterlist, payslips and stipend batches, and compliance workbooks — with the exact buttons to click, in order.

01 · Attendance Registers

Every class keeps a weekly signature register. Preview it before printing, or download it straight away.

Any role Register button stays greyed out until a class is chosen

Weekly register — view or download

Produces the full UIF-style register for one class, one week: header block, five-day signature grid, and footer note.

  1. Open Attendance from the left-hand menu.
  2. Pick the class from the — select a class — dropdown.
  3. Land on the right week using ← Prev week, This week, Next week →, or the date field.
  4. Click View register (PDF) to open it in a new tab first, or go straight to Download register (PDF) to save it.
Not a report: the amber banner that sometimes appears above the grid ("N learners flagged — 3 consecutive unexplained absences") is a dropout alert, separate from the register. It doesn't affect the PDF.

02 · Learner Masterlist

One workbook covering every learner, grouped Municipality → Site → Class, with a built-in compliance summary sheet.

Export Excel

Downloads exactly what's on screen — apply filters and pick columns first if you only need a slice of the full list.

  1. Open Learner Masterlist.
  2. Narrow the list if needed — Municipality, Status, Class, free-text search, and a start-date range are all available in the filter bar.
  3. Use Columns to choose which of the 15 available fields appear in the export.
  4. Click Export Excel. The file downloads as Learner_Masterlist_{date}.xlsx.

03 · Payslips & Stipends

Three related exports live on this page, all reading from the same filtered list of learners for a given month.

Any role Set the month + filters once — all three exports below use them

Before generating any of the three reports: set Month, Municipality, Class, Learner Status, Payment Status, and stipend bracket at the top of the page. Each export uses whatever is currently on screen.

  • Stipend register

    Export CSV

    A ready-to-import Sage Payroll file — employee number, names, ID, dates, UIF/tax status, bank details, days worked, and stipend amount.

    1. Click Export CSV, top-right.
    2. File downloads as stipend-{year}-{month}.csv.
  • Bulk payment

    Standard Bank Bulk

    A Standard Bank bulk-payment batch file, one row per learner.

    1. Click Standard Bank Bulk.
    2. Enter your Standard Bank from-account number when prompted — it's remembered for next time.
    3. File downloads as standard-bank-bulk-{year}-{month}.csv.
    Note: only learners with a bank account number, branch code, and a stipend above R0 are included. Anyone excluded is listed in the confirmation message so you can chase up their banking details.
  • Per learner

    Individual payslip

    A single-page PDF payslip for one learner — earnings, UIF/tax deductions, and nett pay.

    1. Find the learner's row in the table.
    2. Click the ⬇ PDF button at the end of their row.
    3. File downloads as payslip-{ID number}-{year}-{month}.pdf.

04 · Compliance Reports

Tracks six fields per learner — Banking Details, UIF Reference No., ID Numbers, Tax Reference No., Contracts, and Highest Qualification — each as Verified, Unverified, or Missing.

Full compliance workbook

All six fields, for every learner, in one workbook — a Summary sheet plus a full learner-by-learner data sheet.

  1. Set the learner-status filter, top-left, if you don't want "All Learners".
  2. Click Download Excel, top-right.
  3. Admins are asked to choose All Municipalities or one specific municipality before the file generates. Facilitators don't see this step — their export is automatically scoped to their own classes.

One field at a time

Every card has its own Export button, and drilling into a card lets you scope that same field down to a single municipality, training venue, or class.

  1. To export one field for the whole organisation (or, as a facilitator, all your classes): click Export directly on its card.
  2. To narrow it further: click "Click to explore →" on the card to open the municipality breakdown.
  3. Click a municipality's own Export button for that municipality only, or click the municipality name to drill into its training venues.
  4. Keep drilling — venue → class — each level has its own Export, scoped to exactly what's on screen.
